(European Regulation concerning the protection of personal data)
Dear Client,
We would like to inform you that Reg. EU 2016/679 (“European regulation on the protection of personal data”) provides for the protection of natural persons and other subjects with regard to the processing of personal data.
Therefore, pursuant to articles 13 and 14, we provide the following information:

2. Purposes, legal basis for the processing of the data
The data you provide will be processed solely to fulfil contractual obligations and your specific requests as well to fulfil regulatory obligations, above all accounting and tax related ones.
3. Method of processing
In relation to the purposes indicated, your data will be processed by electronic means and on paper. Processing takes place in such a way as to guarantee the logical and physical security and confidentiality of your personal data.
4. Legitimate interests pursued by the controller or third parties
4.1. Nature of the personal data
The object of the processing of your personal data related to the performance of the service you have requested is:
a) Answering your request for information;
b) Preparation of the commercial offer;
c) Management of your order;
d) Performance of maintenance on your equipment;
e) Transmission of commercial, promotional communications or information about specific events.
Moreover, during the course of the business activities of HFILTRATION S.r.l., our authorised personnel may obtain the data of your employees/contact staff such as:
• Name and Surname
• Email address (company and/or personal)
• Mobile phone number (company and/or personal)
Therefore, as these data are necessary for the services you have requested, we ask you to inform them of this processing.
4.2. Obligatory and optional nature of providing the data
It is not obligatory to provide your personal data but refusal to do it for the purposes as of point 4.1 sub-paragraph a), b), c) and d) could make it impossible or extremely difficult to provide the services you have requested.
As regards the processing of point 4.1 e), providing and consenting to the processing are optional.
4.3. Scope of communication and disclosure of the data
Your data may be communicated to:
• all subjects whose right of access to such data is recognised by law and regulations;
• our contract staff, employees, within the context of their duties;
• all natural persons and/or legal entities, public and/or private when communication is necessary for the fulfilment of the contract in the ways and for the purposes illustrated above;
• consultants or consultancy firms or to companies for the purpose of fulfilling accounting and tax related obligations;
• consultants, also in associated firms, for any debt collection activities;
• consultants, also in associated firms, for the activities you have requested, to perform activities that are accessory to the contract in being (installers)
The data you provide will be processed and communicated only within the Italian borders.
4.4. Storage period
Your data will be processed for a fixed period of time and, in any case, not exceeding 10 years from the last contract (in order to allow the Data Controller to defend itself, for example, in the tax area and in the field of contractual responsibility), instead with regard to the data collected for the purpose in point 4.1 e), they will be used for a maximum of 24 months, but retained, being an integral part of what was previously indicated, for a period of not less than 10 years.
5. Data subject’s rights
5.1 Art. 15 (right of access), 16 (right of rectification) of Reg. EU 2016/679
The interested data subject has the right to obtain from the data controller confirmation that it is or is not undergoing the processing of personal data concerning him and in this case, to obtain access to personal data and the following information:
a) the purposes of the processing;
b) the categories of personal data concerned;
c) the recipients or categories of recipient to whom the personal data have been or will be disclosed, in particular recipients in third countries or international organisations;
d) where possible, the envisaged period for which the personal data will be stored, or, if not possible, the criteria used to determine that period;
e) the existence of the right of the data subject to request the data controller to rectify or delete personal data or limit the processing of personal data concerning him or to oppose their treatment;
f) the right to lodge a complaint with a supervisory authority;
h) the existence of an automated decision-making process, including profiling and, at least in such cases, significant information on the logic used, as well as the importance and expected consequences of such processing for the data subject.
5.2. Right as of article 17 of Reg. EU 2016/679 – right to erasure (‘right to be forgotten’)
The data subject shall have the right to obtain from the controller the erasure of personal data concerning him or her without undue delay and the controller shall have the obligation to erase personal data without undue delay if one of the following grounds applies:
a) the personal data are no longer necessary in relation to the purposes for which they were collected or otherwise processed;
b) the data subject withdraws consent on which the processing is based according to point (a) of Article 6(1), or point (a) of Article 9(2), and where there is no other legal ground for the processing;
c) the data subject objects to the processing pursuant to Article 21(1) and there are no overriding legitimate grounds for the processing, or the data subject objects to the processing pursuant to Article 21(2);
d) the personal data have been unlawfully processed;
e) the personal data have to be erased for compliance with a legal obligation in Union or Member State law to which the controller is subject;
f) the personal data have been collected in relation to the offer of information society services referred to in Article 8(1).
5.3 Right as of article 18 (right to restriction of processing)
The data subject shall have the right to obtain from the controller restriction of processing if one of the following applies:
a) the accuracy of the personal data is contested by the data subject, for a period enabling the controller to verify the accuracy of the personal data;
b) the processing is unlawful and the data subject opposes the erasure of the personal data and requests the restriction of their use instead;
c) the controller no longer needs the personal data for the purposes of the processing, but they are required by the data subject for the establishment, exercise or defence of legal claims;
d) the data subject has objected to processing pursuant to Article 21(1) pending the verification whether the legitimate grounds of the controller override those of the data subject.
5.4 Right as of article 20 (right to data portability)
The data subject shall have the right to receive the personal data concerning him or her, which he or she has provided to a controller, in a structured, commonly used and machine-readable format and have the right to transmit those data to another controller without hindrance from the controller to which the personal data have been provided.
6. Withdrawal of consent
The data subject is entitled to withdraw consent to the processing of his personal data, contacting the Controller at the following address: HFILTRATION S.r.l.- VIA FIRENZE, 69- 20025 LEGNANO (MI) accompanied by a photocopy of your identity document with the following wording: <>. At the end of this operation, your personal data will be removed from our archives as soon as possible.
